Operating context

The visit is the easy part; the paperwork is where time is lost

Mobile engineers attend equipment on customer sites, diagnose, repair and leave. The commercial and contractual value of that visit only exists once there is a report the customer accepts.

In practice the report is written later — in a van, at home, or two days afterwards — from memory, loose notes and a camera roll that is not organised by job.

Signatures are collected on paper or not at all. Photographs prove the condition on arrival but are not attached to the finding they support.

By the time the report is issued, the engineer has already moved to the next site and the detail is gone.

Where field service records break down

Reports are written after hours

Administration lands outside paid time, which makes it late, thin and inconsistent between engineers.

Evidence is not attached to findings

Photos exist, but nobody can tell which photo supports which fault, or what the condition was before the work started.

Signatures are collected on paper

The proof that the customer accepted the work is the item most likely to be lost.

Follow-up work disappears

A part that needs ordering or a defect that needs a return visit is mentioned in the report text and then forgotten.

  1. Task — the visit is issued against a customer, site and asset.
  2. Capture — arrival condition, findings, work performed, parts used, readings and photos are recorded against the asset on the phone.
  3. Verify — required fields, missing photos and inconsistent readings are flagged before the engineer leaves site.
  4. Approve — a supervisor reviews where the work type requires it.
  5. Sign — the site contact signs on the device.
  6. Report — a branded service report is generated from the same record.
  7. Deliver — the report is emailed or handed over from the field.
  8. Follow Through — parts, quotations, return visits and warranty items carry forward as tasks rather than as sentences in a PDF.

Decision boundary. Whether equipment is fit to return to service, whether a repair is acceptable, and what is quoted or charged are decisions for qualified engineers and authorised commercial staff.

Writing back into an existing maintenance system is designed to be possible but is subject to project validation against the specific system and its interfaces.

Limitations

What this workflow does not do

  • This is a field execution and reporting workflow. It is not a full ERP, EAM or scheduling suite, and we will say so if that is what is needed.
  • Offline behaviour depends on the device and site conditions and is validated per project.
  • We do not claim measured reductions in administration time until a customer agrees to publish their own before-and-after data.
  • AI assistance drafts and cross-checks. It does not decide that equipment is safe to run.
